Coordination for the day of the wedding

Many couples want to do most of the planning themselves, but realize that they need a professional to carry their hard work across the finish line.

The job of the day-of coordinator is to meet with the bride and groom to understand their wedding day wishes, establish contact and coordinate logistics with all vendors, and to be there on the wedding day to make sure that everything is executed as planned.

Oftentimes, if the day-of coordination is left in the hands of family and friends, they end up stressed out and not enjoying the celebration as they should (I speak from personal experience).  Although these individuals are usually happy to help, they are guests at your wedding, and they want to be able to enjoy celebrating your day, too! By hiring a professional to carry out your detailed plans, you relieve pressure on friends, family members, bridal party members, and even personal attendants, allowing them to enjoy your wedding.

Once you have booked me as your coordinator...

3 MONTHS PRIOR TO WEDDING

  • First in-person consultation with bride and groom. *Deposit will be due at this time. 
  • MBWC will learn about bride & groom's style, preferences, and details of the wedding.
  • Bride and groom will provide all vendor contact information.
  • Discuss logistics and a tentative timeline. (MBWC will send first draft to couple after this meeting and after consulting with vendors).
  • Provide suggestions for last minute vendors, and ensure that all details - big and small - have been thought-through and planned out.

2 WEEKS PRIOR TO WEDDING

  • Meet to finalize timeline. Make updates as necessary.
  • Finalize location logistics, timing, etc.

1 WEEK PRIOR TO WEDDING

  • MBWC will make contact with all vendors, ensuring that everyone has a copy of the final timeline and has necessary contact and logistical information.

DAY BEFORE WEDDING

  • MBWC will make contact with the bride & groom one final time before the wedding day to ensure that there are no last minute changes or updates. Will adjust accordingly, if so.

PRE-CEREMONY

  • Arrive at bride's 'getting ready' location.
  • Ensure on-time arrival of hair/makeup stylist(s).
  • Keep an eye on the timeline to make sure that bride and bridesmaids stay on track to get hair/makeup done in a timely fashion to get to photos on time.
  • Make sure that bridal party flowers are at the right place at the right time for photos.
  • Ensure on-time arrival of photographer.
  • Ensure on-time arrival of ceremony musician(s) or DJ.
  • Brief walk-through with ushers, bridal party, flower girl, and ring bearer.
  • Communicate with transportation.
  • Assist with ceremony set-up: decorations, chairs, place tape where bridal party stands during ceremony, etc.

CEREMONY

  • Coordinate and cue commencement of ceremony.
  • Direct wedding party when to begin processional.
  • Be present with the bride to ensure she has everything she needs and tell her when it's time to walk down the aisle!

RECEPTION

  • Direct vendors where to set up.
  • Assist with set up of decorations, center pieces, floral arrangements, etc.
  • Ensure DJ has a list of all reception events, and coordinate bridal party entrance, toasts, first dance(s), cake cutting, garter/bouquet toss, and greeting of guests.
  • Coordinate with DJ to invite guests to join bride and groom for dinner, and/or call tables for buffet line.
  • Be visible and accessible to bride or groom at all times.
  • Take care of any last-minute needs.
  • Distribute tips to vendors.

What a day-of coordinator does NOT do...

  • Renegotiate contracts or terms of contracts. These details should be agreed upon and finalized by the bride and groom prior to the wedding.
  • Pick up or drop off any items needed for the rehearsal dinner, ceremony, or reception. I will, however, help to determine these logistics.
